Duties |

Auspices and sponsorship for the event.
·
Manage events, identify a potential business, researching,
writing, planning and implementing all aspects of the exhibits.
·
Usually be present during the event to address any problems
that may arise.
·
Collaborate with sales teams and customers to identify
qualified opportunities.

Processes group reservation information including rooming
lists, suites, resumes and billing requirements.
·
Communicates and verifies information between Meeting
Planners, Housing Bureaus, Meetings and Conventions and Front Office.
·
Processes reservation requaierments.

·
Work with the marketing department and the Director of
Events to determine appropriate event dates, locations, timelines, formats
and venues.
·
Adhere to all deadlines, turnaround timelines & compliance
requirements.
·
Conduct site inspections for events as required.
·
Review contracts for meetings as assigned.
·
Provide timely and accurate data on events as assigned.
·
Conduct post-event surveys for meetings as assigned.
·
Determine and arrange detailed engagement logistical needs.
·
Oversee event vendors and travel coordination as assigned.
·
Prepare and provide invited guests with timelines outlining
all planned engagement details.
·
Respond to day to day guest/market partner inquiries and
needs.
·
Overall management of project timeline.
·
Ensure organization of registration process.
·
Maintain the highest level of quality, professionalism and
integrity.
·
Review vendor invoices for accuracy.
·
Update budgets as necessary in conjunction with the
Director of Events during planning process.
·
Communicate budgetary information to the director of events
·
Proactively seek out process improvements.
·
Assume and perform other duties and responsibilities not
specifically outlined herein, but which are logically and properly inherent
to the position or as requested

·
Sell and coordinate events and meetings for the Hospitality
Division.
·
Work with prospective clients to define the scope of the
event, show venues, write permits, track event fees, coordinate
building-related event logistics, follow up with client upon event
completion, and ensure a high level of customer service.
·
Create and maintain client/event file, Ungerboeck event
software system, and event calendars.
·
Serve as the primary contact for permitted events, ensuring
a high level of customer service, that fees are collected in a timely manner,
and that the accounting documentation process is completed.
·
Ensure all rules and regulations identified in the clients
Special Use Permit for each venue (historic, environmental, use and
occupancy) are adhered to.
·
Attend industry events to market the Presidios venues and
other park uses.
·
Serve as the on-call back-up support for the Hospitality
Event Venue Assistants.
